Suppose you have a data that has 1 column as City. You want to know how many of your records contains “Mumbai” as your city?!
You would normally sort your data City-wise and then count it, isn’t it?

Just use a formula =COUNTIF(range, criteria)
Countif basically means counting no. of occurrences.
Range specifies Where do you want to count.
Criteria specifies What do you want to count.So let’s say D is the column where you have City names, and say you have 156 records in your data.
So your formula would be =COUNTIF(D2:D157,”Mumbai”)
(Remember row 1 would always be headers).
Mumbai┬áhere is not case sensitive, it could even be written as “mumbai” or “MUMBAI” or however.
